Budgets, expense claims, tax returns and loan applications all go faster when transactions sit in a spreadsheet instead of a PDF. Retyping a statement by hand is slow and error-prone, and copying from the PDF usually pastes every row into a single column.
This guide shows how to convert a statement PDF into Excel, how to check the result, and one option many people overlook that is often better than converting at all.
First, look for a CSV download
Most banks let you export transactions from online banking as CSV, Excel or OFX, usually from the transactions or statements page. That export comes straight from the bank's records, so it is more reliable than any conversion. Use the PDF route when the bank only offers PDFs, when you need older statements, or when someone has sent you a PDF.
Step by step: convert the PDF
Unlock it if needed
Some banks protect statements with a password, often based on your date of birth or account number. If you know it, remove it with Unlock PDF first. That step runs in your browser.
Keep only the pages you need
Statements often include marketing pages and terms and conditions. Pull out the transaction pages with Split PDF for a cleaner spreadsheet.
Convert to Excel
Upload the PDF to PDF to Excel. It finds the tables on each page and writes them into an .xlsx file you can open in Excel, Google Sheets or Numbers.
Check the spreadsheet
Statement layouts vary from bank to bank, so give the result a quick check before relying on it:
- Dates: make sure the spreadsheet treats them as dates rather than text, so they sort correctly. Text to Columns can convert them in one step.
- Amounts: debits and credits may be in separate columns or shown with a minus sign. Pick one transaction and compare it with the PDF.
- Running balance: compare the last balance in the sheet with the closing balance on the statement. If they match, no rows were missed.
- Wrapped descriptions: long transaction descriptions sometimes spill onto a second row. Merge or delete those rows.
Scanned statements
Conversion needs a statement with real text, the kind you can select in a PDF viewer, which is what you get when you download a statement from online banking. A photo or paper scan of a statement is an image of the text and cannot be turned into a table without OCR first.
What happens to your statement

Will the converted spreadsheet be exact?
The numbers are copied from the text inside the PDF, not recognized from an image, so they match the statement. Layouts vary, which is why checking the closing balance is worth the minute it takes.
Can I convert a scanned statement?
Not directly. Scanned pages are images, and image-only PDFs need OCR before their tables can be extracted.
My statement is password protected. What now?
If you know the password, remove it with Unlock PDF first, then convert the unlocked copy.
Is there a size limit?
Statements up to 20 MB can be converted, which covers years of monthly statements. Split very long files into parts if needed.
