IBPS and the bank recruitments run on its portal (PO, Clerk, RRB and many bank-specific drives) ask for four scanned images: a photograph, a signature, a left thumb impression and a handwritten declaration. Each has its own pixel size and its own KB range, with a minimum as well as a maximum, and the portal refuses files outside the range.
Below are the specifications from IBPS's scanning guidelines and a simple way to produce all four files from phone photos or scans, free and in your browser.
The four files and their sizes
These come from the 'Guidelines for scanning and upload of documents' attached to IBPS notifications (checked on 10 October 2026). All four must be JPG or JPEG. Always confirm against the notice for your exam.
- Photograph: recent passport style colour photo on a light, preferably white, background. 200 x 230 pixels preferred, 20 to 50 KB.
- Signature: signed on white paper with a black ink pen, not in capital letters. 140 x 60 pixels preferred, 10 to 20 KB.
- Left thumb impression: on white paper with black or blue ink. 240 x 240 pixels preferred (3 x 3 cm at 200 DPI), 20 to 50 KB.
- Handwritten declaration: in English, in your own handwriting, not in capital letters, on white paper. 800 x 400 pixels preferred (10 x 5 cm at 200 DPI), 50 to 100 KB.
Step by step for each file
Photograph or scan on white paper
Scan at 200 DPI or more, or photograph the paper flat in daylight so there are no shadows. For the photograph, use a recent colour photo with your face clearly visible.
Crop tightly
Open Crop Image with the Freeform preset. Crop the photo to head and shoulders, the signature close around the ink, the thumb impression to a square and the declaration to the text block.
Resize to the preferred pixels
Open Resize Image, click the padlock between width and height to unlock the aspect ratio and enter the size for that file: 200 x 230, 140 x 60, 240 x 240 or 800 x 400.
Bring the KB into range
Open Compress Image, choose Target size, enter the maximum (50 for the photo and thumb, 20 for the signature, 100 for the declaration) and tick the minimum box with 20, 10 or 50. The tool picks the quality for you; the 50 KB and 20 KB pages have it preset.
When the file is too small
IBPS sets minimums (20 KB for the photo and thumb, 10 KB for the signature, 50 KB for the declaration). Small images on a white background compress very well, so it is easy to end up under the minimum. If that happens, raise the quality in Compress Image towards 95 or 100 percent. If it is still under, re-scan at a higher DPI and resize again, rather than adding noise or borders.
Format problems
Phones sometimes save HEIC or PNG files. Convert them to JPG with Convert Image Format before uploading; IBPS accepts JPG and JPEG only.
Mistakes that get applications rejected
- Signature or declaration written in capital letters.
- Declaration written by someone else or in another language.
- Photo with a dark or patterned background, or a blurred face.
- Thumb impression smudged, or made with the right thumb without saying so when the left is available.
- Swapping the files, for example uploading the signature in the photo slot.
Frequently asked questions
What is the IBPS photo size in KB and pixels?
20 to 50 KB, with 200 x 230 pixels preferred, in JPG or JPEG format.
What is the IBPS signature size?
10 to 20 KB, with 140 x 60 pixels preferred, signed in black ink on white paper and not in capital letters.
My file is below the minimum size. What do I do?
Raise the JPG quality in Compress Image until the size is inside the range. If that is not enough, scan at a higher DPI and resize again.
Are my documents uploaded when I resize them here?
No. Crop, Resize, Compress and Convert Image run in your browser, so your signature and thumb impression never leave your device.
