Job portals, exam registrations, visa applications and government services often ask for a photo under 50 KB, a signature under 20 KB, or a scanned document under 200 KB, sometimes with exact pixel dimensions too. A photo straight from a phone is usually 2 to 5 MB, so it gets rejected.
Getting under the limit takes three steps, in a specific order: crop, resize, then compress. Doing them in this order gives the sharpest result at the smallest size.
Read the requirements first
Forms usually state three things, sometimes in small print: the file format (almost always JPG or JPEG), the maximum file size in KB, and sometimes the dimensions in pixels or centimeters (for example 200 x 230 pixels, or 3.5 x 4.5 cm). Note all three before you start; the dimensions matter more than you might expect, because a smaller image needs far less compression to fit a size limit.
Step by step: get under the limit
Crop to the right shape
Open Crop Image and cut the photo to the required proportions. For a passport-style photo, keep the head and shoulders centered with a little space above the head. For a signature, crop tightly around the ink.
Resize to the required dimensions
Open Resize Image and enter the pixel width and height from the form. If the form gives no dimensions, around 600 pixels wide is plenty for a photo and around 400 pixels wide for a signature.
Compress until it fits
Open Compress Image, choose JPG output and lower the quality slider while watching the file size shown next to the original. Stop as soon as you are under the limit; there is no benefit to going further.
Check before uploading
Open the downloaded file and look at it at full size. Faces and signatures should still be clear, without blocky patches.
Typical targets that work
Every form is different, but these combinations usually land comfortably under common limits while staying clear:
- Photo under 50 KB: about 300 x 400 pixels at 70 to 80 percent JPG quality.
- Photo under 100 KB: about 600 x 800 pixels at 70 to 80 percent quality.
- Signature under 20 KB: about 400 x 150 pixels at 70 percent quality, on a plain white background.
- Scanned page under 200 KB: about 1200 pixels wide at 60 to 70 percent quality.
If the form rejects the format
Many portals only accept .jpg or .jpeg. If your image is a PNG, WebP or screenshot, convert it with Convert Image Format before uploading. PNG files in particular are often much larger than the same image saved as JPG, because PNG is lossless.
Mistakes to avoid
- Compressing a full-size photo to 20 KB. Without resizing first, it will look smeared. Resize, then compress.
- Upscaling a tiny image to meet minimum dimensions. It will look blurry; take a new photo instead.
- Photographing a signature in dim light. Grey shadows add size and look messy; sign on white paper in good light.
